Important information about UKG Clocking

UKG Pro App versus UKG On-site Punch Device

  • To determine which facilities have punch devices available on-site, please refer to the list below. Important: If you work at one of these locations, you must enrol to clock on the UKG device. Please consult your ER24 Manager for assistance.
  • If there is no punch device available at the facility where you work, please download the UKG Pro app on your mobile device to clock for these shifts. For download instructions and manuals, scroll down to the 'UKG Pro App Information and Manuals' section.

Punch in and out correctly to avoid payment delays

It is important to punch in at the start of your shift and punch out at the end of your shift. Your ER24 Manager will review the hours you record to ensure you are paid promptly. If you do not punch in or out correctly, it may delay your payment.

Is the UKG Pro App data-free?

The app is not data-free; however, punching in and out is a quick action that doesn’t use much data. You can also connect to the Wi-Fi network at the ER24 location where you work to download the app or to punch in and out.

Phone's location must be enabled to use the UKG Pro App

The app requires your phone's location to be enabled for punching in and out.

UKG Pro App Login Guidance (Temporary Staff)

For first-time login after downloading the app:

  • Use your ID number or passport number as your username. When entering your passport number, please make sure to include the entire number. 
  • Enter the following password: your MHR employee number followed by '@ER24mobile' (for example, 1234@ER24mobile). 
  • After entering this information, you will be prompted to create your own secure password. 

For subsequent logins:

  • Use your ID number or passport number as the username and enter the password you created. When entering your passport number, please make sure to include the entire number.

UKG Pro App Login Guidance (Permanent Staff)

For first-time login after downloading the app:

  • Click on 'SSO Login' or 'Sign In'. 
  • Enter your ER24 or Mediclinic email address, and provide your network password if prompted.

For subsequent logins:

  • You should only need to click on 'SSO Login' or 'Sign In' without entering a username or password. If you are prompted to enter these credentials, please provide your ER24 or Mediclinic email address and network password.

Where can I enrol to clock on a UKG punch device

For help with enrolling on a UKG device, please consult the following representatives:

  • Weekday Day Shift: ER24 Manager
  • After-Hours Weekday Shift: Night Duty Manager at the facility where you need to clock
  • Weekend/Public Holiday Shift: Manager on Call at the facility where you need to clock

 

How to check if you are enrolled on a UKG punch device

Temporary employees -  Follow these steps to check enrolment on the UKG device:

  • Click the 'ER24 BR Call Out' button.
  • Enter your ID or passport number.
  • When prompted, scan your finger.
  • If the scan is successful, you are enrolled to use the UKG device for clocking in and out.

Permanent employees - Follow these steps to check enrolment on the UKG device:

  • Click the 'ER24 BR Call Out' button.
  • When prompted, scan your finger.
  • If the scan is successful, you are enrolled to use the UKG device for clocking in and out.

IMPORTANT: Note that the 'ER24 BR Call Out' button is not intended for regular shift punches; it is specifically designated for clocking in for ER24 call-out shifts. Instead, you should use the 'Punch In or Out' button to clock in or out for your regular ER24 shifts, unless you are specifically clocking in for an ER24 call-out shift.

How to clock on an a UKG device (Temporary Staff)

  • Refer to the manual below for detailed steps.
  • Note that you need to be enrolled to clock on a UKG device. Consult your ER24 Manager for assistance.
  • When clocking in and out for a shift, please click on the 'Punch In or Out' button, enter your ID or passport number and then scan your finger when prompted to do so.
  • When you use a passport number to punch in or out, you should only enter the numeric portion of the number. Specifically, any letters and zeros that follow the letters must be excluded. For example, if the passport number is BDY00048068, only the digits 48068 should be entered into the device, while BDY000 should be omitted.
  • If you were born in the millennium and your identity number starts with two zeros, only the digits that come after the zeros should be entered into the device. For example, if the identity number is 001108 6223 086, you should only input the digits 1108622086.
  • The reader needs to ask for your fingerprint after entering your ID or passport number; otherwise, the ID or passport number entered may be incorrect.

 

How to clock on a UKG device (Permanent Staff)

  • Permanent employees are not required to enter their ID or passport number on the device; therefore you only need to scan your finger when prompted.

I forgot to clock for my shift

Please notify the ER24 Manager who approves your shifts without delay.

I am unable to clock on a UKG device (Temporary Staff)

If you are a temporary employee and are having trouble clocking on the UKG device, it may be due to one of the following reasons:

  • Ensure that you enter your ID or passport number before scanning your finger.
  • Ensure that you enter the correct ID or passport number. Please double-check and re-enter your ID or passport number, then see if you are prompted to scan your finger to clock in or out.
  • If you are still unable to clock, you might not be enrolled to clock on the UKG device. Consult your ER24 Manager or the Night Duty Manager (after hours) at the facility where you work to get enrolled. 
  • If you are still unable to clock after being enrolled, please consult your ER24 Manager for assistance in logging a ticket with service desk.

When submitting the ticket to the service desk, the ER24 Manager must follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, 'Temporary ER24 Staff Member Unable to Punch on UKG Device'.
  • Include the MHR personnel member's ID or passport number.

I am unable to clock on a UKG device (Permanent Staff)

If you are a permanent employee and are having trouble clocking in on the UKG device, it may be due to one of the following reasons:

  • If you are still unable to punch in after being enrolled, please consult your ER24 Manager for assistance in logging a ticket with service desk.

When submitting the ticket to the service desk, the ER24 Manager must follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, 'ER24 Staff Member Unable to Download UKG Pro App'.
  • Include the MHR personnel member's ID or passport number.
  • Provide the contact number of the MHR personnel member.

I am unable to punch on the UKG Pro App

Consult the ER24 Manager who approves your shifts to submit a ticket to service desk.

The UKG Pro App is not responding

If the app is not responding or shows a blank screen, please follow these troubleshooting steps:

  • Check your Wi-Fi connection or mobile data.
  • Uninstall and then reinstall the app.
  • Restart your mobile phone.
  • You can also attempt to clear the cache by following the steps outlined in the various guides below.
  • If the app remains unresponsive after trying these steps, please inform your ER24 Manager, who will assist you in logging a ticket with the service desk.

I forgot my UKG Pro App password (Temporary Staff)

If you have forgotten the password you created, please consult your ER24 Manager for assistance in logging a ticket with the service desk. 

When submitting the ticket to the service desk, the ER24 Manager must follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, 'ER24 Temporary Staff Member forgot UKG Pro App Password'.
  • Include the MHR personnel member's ID or passport number.
  • Provide the contact number of the MHR personnel member.
  • Include a detailed explanation of the issue. If possible, attach screenshots to assist the service desk team in identifying the problem.

Important UKG information for ER24 Managers

Steps to enrol MHR ER24 staff to clock on UKG

  • On the first day that the MHR staff member needs to clock on the UKG device, please follow these steps. If the staff member is not scheduled to work a pre-arranged shift, coordinate with the MHR ER24 Coordinator (Email: er24.mhr@mhr.co.za) to schedule a fictitious shift for the MHR staff member on MHRM.
  • Once the MHR staff member is scheduled on MHRM, they should be enrolled on UKG by one of the following representatives: Weekday Day Shifts: ER24 Manager / Weekday After-Hours Shifts: Night Duty Manager / Weekend and Public Holiday Shifts: Manager on Call at the facility.

Cut-off times for staff scheduling submissions to MHR

To streamline the UKG approval process, please submit your scheduling requests to the MHR ER24 Coordinator (Email: er24.mhr@mhr.co.za) adhering to the scheduling cut-off times outlined below:

  • Monthly Scheduling: All scheduling for the upcoming month must be submitted to MHR by the 24th of the current month at the latest.
  • Weekly Scheduling: All weekly scheduling must be submitted to MHR by the end of business on Wednesdays.

Submitting UKG-related service desk tickets for staff

When submitting a ticket to service desk regarding UKG issues, please follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, ‘ER24 Staff Member Unable to Punch on UKG’ or 'UKG App Password Reset Request for ER24 Temporary Staff Member', etc.
  • Include the MHR personnel member's ID or passport number.
  • Provide the MHR personnel member's contact number.
  • Provide a detailed explanation of the issue and include screenshots, if possible, to assist the service desk team in pinpointing the problem.

Approving time cards on UKG (Permanent and MHR Agency Staff)

It is important to note the following regarding shift approval:

  • MHR agency staff shifts require DAILY approval on Dimensions/UKG.
  • Permanent staff shifts require WEEKLY approval on Dimensions/UKG.
